Record the agreed basis

Keep the purchase reference, material description, pricing basis, and confirmation together. An estimate should remain identified as an estimate.

Supporting record

Purchase confirmation

Check that the material description and basis agree across the record.

A status should have a reason.

“Waiting for a ticket” describes a missing document. “Waiting for reconciliation” describes a comparison that is still open. Neither means a payment has been authorized.

Keep document completeness, commercial approval, and settlement completion distinct. That separation makes an exception easier to explain.

Preparing a supplier record

First establish how purchases and documents will be identified. Next, collect the paperwork appropriate to the actual transaction. Commercial review must follow its own confirmed process.
